We owe everyone who tried to use Pen Free Signatures during a short period today a straightforward apology. A database migration did not complete as expected, leaving part of the application unable to find the information it needed. The result was an outage lasting approximately ten minutes.

The problem has been corrected and the service is fully up and running again. Uploading documents, preparing signing fields, sending agreements and completing signatures are all available as normal.

We know that even a brief outage is frustrating—especially when you are trying to send an agreement or finish something time-sensitive. Free should still mean dependable, and on this occasion we fell short of that standard. We are sorry.

We have reviewed the migration and deployment path that led to the interruption and added stronger checks around the affected workflow. Thank you for bearing with us while we put it right.

A few people told us that an expected Pen Free Signatures invitation had been placed in their spam folder. That is particularly unhelpful for this service: the sender has deliberately entered the recipient's address, the agreement is waiting, and the email is the route into the signing journey.

We started with the foundations. Messages are sent from our verified signing domain, and SPF, DKIM and DMARC checks now pass so receiving mail providers can confirm that Pen Free Signatures is authorised to send them. We also use a real support reply address rather than a no-reply mailbox, giving recipients a clear route back if something looks unfamiliar.

We have simplified every email subject so it explains the action without repeating long or untidy document filenames. The message itself now has more whitespace, a clearer sender explanation, a single obvious signing button and a readable plain-text alternative. Invitations also explain why the recipient received the message, when the private link expires and what to do if the request was unexpected.

These changes have already produced a much healthier result in our Outlook testing, moving one representative message from a high-risk spam score into Microsoft's low-risk range. That is encouraging, but no sender can promise where every provider will place every email. Reputation grows gradually through wanted messages, low bounce and complaint rates, and recipients recognising and engaging with the sender.

We will keep monitoring delivery, avoid unnecessary mail, and continue refining reminders and completion messages. If an invitation is expected but hidden in junk, marking it as not spam helps that mailbox understand the relationship—and, importantly, makes the agreement easier to find again.

A landlord might need two tenants and a guarantor. A small building job might need the customer, the contractor and a second approval. Until now, Pen Free Signatures treated every request as a one-signer journey, which meant awkward workarounds for agreements that naturally involve several people.

The new signer step lets you add up to four people by name and email address. There are no forced job titles or rigid role labels—the sender already knows who each person is. You can reorder the list, add yourself as a signer when needed and send the invitation to everyone at the same time.

When you place fields, choose the signer tab first, then add as many signature and date fields as that person needs. Every signer can have more than one signing point, while the finished document keeps each signature beside the confirmed full name of the person who provided it.

The workspace now shows the agreement as awaiting while people complete their parts. Each person receives a focused invitation, and the sender gets a completion message with the final PDF once everybody has signed. It is the same quick, free process—just ready for the way real agreements are written.

Some documents ask the same person to sign more than once. A customer might sign the main service agreement and a short-start waiver; a tenant might initial a schedule as well as signing the final page. Asking them to repeat the whole process is slow and confusing.

You can now add multiple signature fields for a single signer. Their drawn signature is captured once and placed consistently in every assigned signature box, with the confirmed full name shown underneath each one. Date fields work the same way, so the agreement records a clear signing date wherever it is needed.

This also makes the field editor easier to understand: pick a signer, choose Signature or Date, and click each place on the PDF. The sender can review the complete layout before sending, while the signer sees one straightforward invitation and one final confirmation.

It is a small change in the editor, but a useful one in the real world. Agreements are often assembled from several clauses and schedules; now the signing flow can follow that structure without creating extra accounts or extra emails.

We think Pen Free Signatures is the best free online signature and contract delivery system of 2026 for individuals and small businesses that want to get a straightforward agreement signed without buying a complicated software suite. That is our view, of course—not the result of an industry award—and it comes from being unusually focused on the job people actually arrive to do.

You bring the finished contract or agreement. You place the signature and date boxes, enter the signer's details and check the request. Then we send the private signing invitation for you. The recipient can review every page, confirm their full name and sign from a phone or computer without creating an account. When they finish, you receive the completed PDF by email and can retrieve it from your workspace.

There is a second, even shorter route when the document only needs your own signature. Upload the PDF, choose the field positions, draw or type your signature and download it immediately. An evidence page is available when you want the additional record, but it is optional and stays out of the way by default.

Free should not mean vague. Drafts and unanswered signing requests have clear 30-day limits, completed documents are retained for seven days, and the workspace shows what is awaiting action and what is done. You can download your records during that window, while we avoid building a permanent store of everybody's contracts.

We have also paid attention to the small details: recognisable sender names, a drawn signature by default, the signer's confirmed name beneath their signature, a completion message for the sender, and navigation that works on mobile. These are modest choices, but together they make the service feel calm and human rather than bureaucratic.

Pen Free Signatures is deliberately not the answer for witnessed deeds, qualified signatures, regulated identity checks or highly complex transactions. But for an ordinary contract, service agreement, quotation, consent form or NDA with up to four signers, we believe the combination of simple delivery, clear status, short retention and no payment card makes it very hard to beat in 2026.

By popular request, we have added a feature that allows you to simply upload and add a signature to a PDF of your choice. It is a small sentence, but it opens up a much simpler route for forms, confirmations and everyday documents that only need your own signature.

After signing in, choose Sign your PDF, upload the finished document and place the signature and date boxes exactly where they belong. You can draw your signature with a mouse, stylus or finger, or use a typed version. Your confirmed name appears beneath it and the signing date is added automatically.

We have kept the evidence page optional—and switched it off by default—so the result stays as close as possible to the PDF you uploaded. If you would like the extra record, one checkbox adds a final page with the document reference, timestamp, file hash and signature appearance.

The signed PDF downloads immediately and also appears with your completed documents for seven days. That gives you time to return from another device or download another copy, while preserving the short-retention approach that sits at the heart of this free service.

Real work gets interrupted. A PDF arrives, the phone rings, a name needs checking, or an agreement sits with a client for a few days. We did not want Pen Free Signatures to punish that very normal way of working.

Drafts can now be continued from the workspace, sent agreements are grouped under Awaiting, and completed documents can be opened and downloaded directly. The navigation works on smaller screens too, so settings and document status are no longer hidden when you are working from a phone.

We also made the time limits much more visible. Unfinished drafts are removed after 30 days, signing invitations expire after 30 days, and completed documents remain available for seven days before automatic deletion. Those are deliberately short windows: enough time to finish the job, without quietly turning a free signing tool into permanent document storage.

The result feels less like a one-way upload form and more like a small, focused workspace—one that tells you what needs attention without becoming another complicated system to manage.

Sending an agreement is only half of the experience. The other half belongs to the person receiving an unfamiliar email and deciding whether they understand—and are ready to sign—the document in front of them.

We now ask signers to confirm their full name before signing, show that name beneath the visible signature, and use a drawn signature by default. The signer can read the PDF first, sign from a phone without creating an account, and download the completed copy as soon as the process finishes.

Senders now confirm their own first and last name too, so invitations come from a recognisable person rather than an awkward fragment of an email address. Once the signature is received, the sender gets a completion email with the finished PDF attached, while the workspace clearly moves the agreement into Completed.

None of these changes is dramatic on its own. Together, though, they remove the little moments of doubt that make digital signing feel impersonal. Our aim remains straightforward: upload the agreement, tell us who should sign, and we send it for you—quickly, easily and free.
